How to switch childcare software without losing your data
Most directors who are unhappy with their current software stay put for one reason: switching feels terrifying. Years of records, a billing setup that finally works, and a hundred parents who’d have to learn something new. The fear is reasonable — but a switch done in the right order is far less painful than the daily friction of staying on a tool you’ve outgrown. Here’s the playbook.
First: can you get your data out?
Before anything else, confirm you can export your data from your current system. You’re looking for:
- Child and family records — enrollment, contacts, authorized pickups, immunization/allergy notes
- Billing history and current balances — who’s paid, who owes, autopay setups
- Staff records — certifications, training hours
- Historical care logs / incident reports — at least the window your state requires you to retain
Reputable platforms let you export to CSV or PDF. If yours makes this hard, that’s worth knowing now — and it’s a sign you made the right call to leave. Pull a full export before you do anything else, and keep a copy regardless of what happens next.
Time the switch to your calendar, not the vendor’s
The single biggest stress-reducer is timing. Don’t migrate mid-month or mid-term. The clean windows:
- Between sessions/terms, when enrollment naturally turns over
- The start of a billing cycle, so you’re not splitting a month across two systems
- A slower season (late summer, post-holiday) when you have bandwidth
Pick the window first, then work backward. A switch you’ve scheduled is a project; a switch you’re forced into is an emergency.
Run in parallel for one cycle
You don’t have to flip a switch overnight. The lowest-risk path is a parallel run:
- Set up the new system and import your data while the old one is still live.
- Run both for one billing/reporting cycle. Log care in the new one; keep the old one as a safety net.
- Reconcile — make sure balances, rosters, and records match.
- Once a full cycle has gone cleanly, retire the old system (and cancel deliberately — note any required cancellation steps before your next renewal hits).
One cycle of overlap costs you a few weeks of double-checking. It buys you confidence that nothing fell through.
Onboard parents the easy way
Parents are the part directors worry about most, and the part that’s usually easiest. They already adapted to your current app; they’ll adapt again if you make it simple:
- Announce early and frame the benefit — “you’ll be able to see live video / get clearer daily updates,” not “we’re changing systems.”
- Send one clear setup message with the download link and a two-line how-to.
- Keep the old app available for a couple of weeks so nobody’s stranded mid-transition.
- Have the front desk ready for the handful who need a hand on day one.
In practice, most parents are set up within a few days, and the ones who loved peeking at a live camera become your biggest fans.
What good onboarding support looks like
When you evaluate a new platform, ask what they do to help you switch:
- Will they import your exported data for you, or is it all on you?
- Is there a named person who owns your onboarding, or a ticket queue?
- How long until you’re fully live — days, or months?
- What’s the plan for the parallel-run period?
A vendor that shrugs at migration is telling you how the rest of the relationship will go.
